1. Build a Video Catalog
Right now your video content is spread across Kajabi with no single searchable list. The first step is getting all your videos into one place with short descriptions and topic tags.
Good news: Kajabi lets you download transcripts directly from Creator Studio after a video finishes processing. You download the transcript files, drop them into Claude, and it generates a consistent summary and tags for each video. The transcript gives Claude the full context of what each video covers, so the descriptions are accurate rather than guessed from titles alone.

Note on Kajabi transcripts: The transcript download feature is available on Kajabi's Growth and Pro plans (launched September 2025). Kajabi auto-generates transcripts for uploaded videos and lets you edit them before downloading. If you're on a lower-tier plan, you can still copy-paste video descriptions manually — it just won't be as rich.
2. Match Intake Forms to Videos
This is where the real time savings are. When a client fills out the intake form, instead of manually scanning through your content, AI applies your expert rules to find the right videos. You define the matching logic once and Claude follows it every time.

3. Draft the Client Email
Once you have the matched videos, AI drafts a personalized email explaining why those videos were recommended based on what the client shared. You review, adjust if needed, and send. A 15-minute writing task becomes a 2-minute review.

The key idea: You keep making the expert decisions. AI handles the searching, sorting, and first-draft writing. Every workflow has a "you review" step before anything goes to a client.
Kajabi Has an API
You don't need this right away, but it's worth knowing about because it unlocks more automation later.
What is an API?
When you log into Kajabi and look up a client, you're using the front door. An API lets another tool ask Kajabi the same question and get the answer back automatically — no clicking required.
Kajabi's API can access: your contact list, products/courses, tags, purchases, and transactions. So a future system could look up a client, check what courses they already have, and filter recommendations automatically.

AI Avatars
The platform you were describing is likely HeyGen. It creates a digital twin from a short reference video of you, then generates new videos from typed scripts. Worth a free trial to see if the quality meets your bar. Synthesia is the other major option at similar pricing.
Honest take: good enough for short informational content but doesn't fully capture the energy of a real presenter. Best for supplementary content, not replacing your keynote work.
